Part-Time Shelter Coordinator

Position Summary: The Drumheller & District Humane Society (DDHS) is seeking a dedicated, compassionate, and highly organized individual to join our team as a Part-Time Shelter Coordinator. This dynamic role is responsible for overseeing the day-to-day operations and administration of the shelter, ensuring that both the animals and the facility are cared for in a safe, clean, and positive environment. This position offers a unique opportunity to contribute to animal welfare while applying administrative and organizational skills.

Key Responsibilities:

Animal Care & Shelter Operations:

  • Ensure the wellbeing of all animals in our care. Socialize and enrich the animals to support their physical and mental well-being.
  • Perform daily animal care duties, including kennel cleaning and disinfecting, scooping litter boxes, feeding animals in appropriate amounts on schedule, and administering medications as required.
  • Maintain a hygienic and safe environment for all animals by conducting general cleaning and disinfecting, washing and folding laundry, sweeping & mopping.
  • Oversee the isolation area, ensuring health and safety standards are followed.
  • Monitor the health and behavior of animals and report concerns to the appropriate team members.
  • Track spay & neuter dates, vaccinations and health treatments for all animals, ensuring records are accurate and up-to-date.
  • Schedule and coordinate veterinary appointments, transport animals to and from the vet, and manage follow-up care instructions.

Public Relations & Community Engagement:

  • Deliver exceptional customer service.
  • Manage all incoming phone inquiries and email correspondence. Answer Facebook and Instagram messages during business hours
  • Facilitate successful adoptions by conducting adoption interviews, processing and screening adoption applications, and ensuring that all necessary documentation is completed.
  • Follow up with adopters: conduct post-adoption follow-ups to ensure a smooth transition for both the cat and the new owner.
  • Offer guidance and resources to individuals surrendering their animals, aiming to educate them about alternatives when appropriate.
  • Facilitate surrenders by assessing surrender requests according to shelter policy to ensure ethical intake.
  • Promote responsible pet ownership and educate the public on DDHS programs and services.
  • Foster positive relationships with local businesses, donors, and the public to support the shelter’s mission.
  • Assist with the promotion of adoption events and fundraising campaigns.

Administrative & Organizational Support:

  • Maintain accurate records and keep documents and tracking sheets filed and organized.
  • Input data and keep the database up to date.
  • Prepare deposits, pick up mail, and collaborate with the treasurer regarding financial matters.
  • Create new files and detailed profiles for each animal, documenting history, personality, and special needs.
  • Keep the website up to date with current adoptable animals, including updating pictures and bios regularly, and removing adopted animals.
  • Assist in the planning and execution of fundraising and adoption events.
  • Monitor supplies of food, litter, cleaning products and order more when required.

Volunteer Coordination:

  • Support volunteer recruitment, training, and retention to ensure the shelter has a motivated and effective team of volunteers.
  • Assist in creating a welcoming and positive environment for volunteers, ensuring they have the tools and resources needed to succeed.
  • Provide ongoing support and guidance to volunteers, helping them to develop new skills and ensure they have rewarding experiences.

Additional Responsibilities:

  • Ensure compliance with DDHS policies and procedures.
  • Participate in strategic planning sessions with the board to streamline shelter. operations and improve efficiency.
  • Create content for social media.

Qualifications:

  • Previous education and/or experience in animal care, animal welfare, or a similar role.
  • Strong organizational and administrative skills, with proficiency in Microsoft Office (Excel, Word) and familiarity with database management.
  • Excellent interpersonal skills and the ability to communicate effectively with the public, volunteers, donors, and team members.
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a fast-paced environment.
  • Strong customer service skills and a passion for animal welfare and community engagement.
  • A clear criminal record check.
  • A drivers license and daily access to a reliable vehicle.

Work Conditions:

  • This is a part-time position with flexible hours based on shelter needs. The current set shifts are Wednesday/Thursday/Friday from 4PM-7PM and Saturday from 11AM-4PM. The remaining 11 hours per week are to be scheduled based on your availability, with some flexibility required to meet shelter demands.
  • Must be able to lift 30lbs and stand, crouch, bend for the majority of your shift.
  • Work is primarily performed in a shelter environment, with some administrative tasks that can be completed remotely.

Job Type: Part-time

Pay: $23.00 per hour
