POSITION SUMMARY
The Community Events Assistant supports the planning, coordination, and delivery of Town-led and community-supported events that promote community spirit, local business, and tourism. This position helps ensure events are organized, compliant, and delivered in a professional, safe, and effective manner.
KEY ACCOUNTABILITIES
- Assists in developing and implementing new and existing community events and programs.
- Assists in booking entertainers, talent, or service providers where appropriate and may serve as the primary point of contact.
- Assists in coordinating event logistics and needs within all departments as required.
- Assists with the collection and processing of Special Event Permits.
- Assists the department in collaborating with community groups, businesses, and volunteers to support successful event delivery and coordinates assigned event functions.
- Assists in communication with appropriate Town staff regarding compliance requirements for events.
- Coordinates event evaluations, recommendations for improvement, and related documentation for future planning.
- Coordinates with the Communications team in marketing of events.
- Contributes to developing event budgets and tracking related expenditures.
- Maintains an inventory of event-related assets and reports damage or replacement needs, as appropriate.
- Tracks attendance, participation levels, and community feedback to support reporting and continuous improvement.
- Demonstrates a commitment to health and safety in event planning and delivery and follows applicable Town policies, safe work procedures, and required controls.
- Performs other related duties in accordance with Town Policies and standards.
EDUCATION AND EXPERIENCE
- Holds a Grade 12 diploma or equivalent.
- Possesses previous event planning, event coordination, recreation programming, or community engagement experience; municipal or community-based experience is an asset.
ADDITIONAL REQUIREMENTS
- Demonstrates strong written and verbal communication skills and is able to build and maintain effective working relationships with internal and external stakeholders.
- Demonstrates strong organizational, prioritizing, and time-management skills, including the ability to coordinate multiple events, manage competing deadlines, and respond to changing operational needs.
- Demonstrates sound judgment, initiative, and problem-solving skills in a dynamic public-facing environment.
- Is proficient with Microsoft Office 365 applications and is comfortable using SharePoint and related systems to support event coordination, communication, and documentation.
- Demonstrates a commitment to health and safety and supports safe event planning and delivery for staff, volunteers, contractors, and the public.
- Is able to work independently with minimal supervision while contributing effectively as part of a team.
- Is able to represent the Town and the department in a competent, professional, and courteous manner.
- Is available to work evenings and weekends, as required, to support events and related activities.
- Holds a valid Class 5 driver’s licence and is able to provide a satisfactory ten (10) year Driver’s Abstract.
- Is able to provide a satisfactory Criminal Record Check and Vulnerable Sector Check.
Employment Category: Temporary Seasonal
Hours per Week: 37.5 hours (Monday to Friday)
Compensation: $24.95 / Hour
