Senior Administrative Assistant

The Town of Drumheller is seeking a dynamic administrative professional to fill the position of Senior Administrative Assistant within the Office of the CAO.

The Senior Administrative Assistant provides administrative support to the Office of the CAO departments including the CAO, Economic Development, Communications and Legislative Services. This position plays a pivotal role in supporting the Human Resources department and is an excellent opportunity for those seeking to develop a career in Human Resources.

Specific Accountabilities include, but are not limited to:

  • Assisting the HR Manager with the coordination of recruitment activities, including posting job ads, screening resumes, coordinating interviews, conducting reference checks, and onboarding new employees.
  • Coordinating the municipal onboarding, orientation, and offboarding program.
  • Maintaining confidential reports, files and documentation related to labour management meetings, collective bargaining negotiations and recruitment activities.
  • Coordinating and maintaining employee records system.
  • Assisting with the review and revision of HR policies, procedures, and safety initiatives.
  • Coordinating the collection of information and documentation associated with the film permit program and municipal land listings and sales.
  • Coordinating the preparation and distribution of documentation and correspondence associated with various meetings for the Office of CAO department.
  • Acting as backup to the Legislative Service Coordinator specific to the creation of meeting agenda packages and meeting minutes for Council meetings.
  • Drafting and coordinating all correspondence and reports for the CAO.
  • Performing other related administrative tasks that include but are not limited to, processing mail, processing invoices, coordinating office supply orders, processing expense reports, coordinating travel arrangements, receiving and managing requests from staff and public for the Office of the CAO.

Qualifications:

  • Completion of a related post-secondary education program.
  • Completion of a program in human resources is considered an asset.
  • Three to five (3-5) years office experience, preferably in municipal government.
  • Knowledge of Employment Standards, FOIP, WCB, and OHS regulations is highly desirable.
  • Excellent interpersonal and communication skills with the ability to build positive relationships at all organizational levels.
  • Demonstrates outstanding political acumen, adept at navigating the complexities of sensitive and confidential information with discretion and tact
  • Proficiency in Office 365 (Sharepoint, Word, Excel, PowerPoint and Teams).
  • Strong organizational and problem-solving skills with the ability to manage multiple priorities with a strong attention to detail.
  • Ability to provide a satisfactory Criminal Record Check.

Additional Information: Prospective candidates must be prepared to undergo a skills assessment. This position is located at Town Hall in Drumheller, and candidates must be able to work onsite fulltime.

Employment Category: Permanent Full-Time

Hours per Week: 37.5 hours – Monday to Friday

Pay Scale: $ 58,863.00 to $74,560.00
